Compare fees, tax filing, English-language support and experience with international clients before choosing a gestor for your business.
To choose a gestor in Spain, start by deciding which tasks you want to delegate. Then compare what each plan includes, the provider's experience with your type of business and how you will communicate. An online dashboard is useful, but you also need to know who will review your documents, file your tax returns and help with an unusual transaction.
This matters especially if you work with overseas clients, sell services or digital products online, or receive payments through Stripe and other payment platforms. Discuss a real example from your business before signing up.
This guide draws on Reglapp's review of selected providers' public offers and the questions that help clarify the service you are buying.
What a gestor does for an autónomo in Spain
A gestor helps with administrative tasks and, depending on their services, bookkeeping and tax filings. A gestoría is the firm providing those services. If you are self-employed in Spain, you will often see this support described as accounting for autónomos or an online gestoría.
The scope varies between providers. Ask which tasks they handle for you, which decisions need your approval and what you must still do yourself.
Types of accounting support for autónomos
Searches for a gestor in Spain, an online gestoría or an accountant for freelancers can lead to quite different services. A useful way to compare them is to look at who actually does the work.
A gestor or gestoría with personal support
You send your documents to a professional and communicate through an agreed channel. The firm may also provide an online portal. For example, Holded offers tools for accounting firms to work with clients in the cloud, receive documents and automate bookkeeping. A local office can still offer a fully digital process.
An online platform with tax support
The platform brings together invoices, documents and communication with a specialist. The amount of work handled by the gestor depends on the plan. Some services require you to enter your own transactions; others include bookkeeping by a professional.
Software for managing your own accounts
You receive tools for invoicing and recording expenses. Professional advice and tax filing need to be checked separately. For example, Xolo Lite is designed for people managing their own accounting, while Declarando offers options with and without tax filing support.
For any of these formats, ask: what do I need to do after uploading a document? Request a demonstration of the full process, from receiving an invoice to obtaining confirmation that a return has been filed.
How much a gestor costs in Spain
Some providers advertise starting fees of around €40 per month plus VAT, known in Spain as IVA. Broader services and more individual support can cost considerably more. Compare the scope of each offer before treating two monthly prices as equivalent.
Check for separate charges for additional invoices, annual returns, consultations and work outside the standard plan. At Reglapp, for example, Basic costs €80 per month plus VAT and Pro costs €130 per month plus VAT.
The annual personal income tax return, known as Renta, deserves particular attention. Xolo's published pricing adds €6 per month plus VAT for Renta in Local and Global; Premium includes it without that supplement. The stated conditions include at least six months of service, with exclusions for a spouse's return and cases requiring a premium-level Renta service.
Compare the cost of a full year: the monthly fee multiplied by 12, plus setup charges and any extra services you need. Check VAT, annual-payment discounts and the price after a promotion ends. Free autónomo registration may also depend on a minimum subscription period.
What your gestor plan should include
Preparation and submission of tax returns
Ask which returns are included for your activity, who checks the figures and who submits them. Confirm where you will find proof of submission. A statement such as "taxes included" needs a clear explanation before you pay.
Your annual Renta return
Ask whether Renta is included, which tax year it covers and which types of income the service handles. Mention any income outside your autónomo activity at the start. An offer covering annual business reporting does not necessarily include your complete personal income tax return.
Expense reviews
Find out who reviews an uploaded invoice and tells you when information is missing. Automatic document recognition can save time, but there should also be a clear process for checking uncertain expenses and incomplete documents.
Official notices and additional requests
Check whether the provider monitors official notifications, responds to requests from the authorities and charges separately for particular cases. Discuss corrections and periods before the start of your subscription.
Switching from another gestor
Agree who collects your previous returns and accounting records, who files for the current reporting period and the date the new gestor takes over. Ask for these responsibilities to be confirmed in writing.
Get the answers recorded in the proposal or service agreement. You can then compare a price with a specific list of tasks.
Choosing a gestor for international clients and online income
Start the consultation with a brief description of your business: what you sell, who buys it, where your clients are based and how you receive payments. An English-language website helps you understand a provider's offer; a discussion of your actual transactions helps establish whether the service fits.
For example, you might say: "I am registered as an autónomo in Spain. I provide services to companies in Germany and the US, receive payments through Stripe and pay some business expenses in US dollars."
Ask what information the specialist would need to review this setup and which parts of the work are included in the plan. Useful topics include customer details, payment-platform reports, processing fees, refunds and transactions in foreign currencies. If you sell digital products to individual consumers, explain that separately.
A short description will rarely be enough for a final tax assessment. A useful first conversation should leave you with clear follow-up questions, an explanation of the service's scope and a next step. Also establish whether the provider will advise on your business model alongside supplying tools to create invoices for foreign clients.
Assessing support before you sign up
Find out whether you will have a dedicated gestor and who covers their absence. Ask whether you discuss documents with the person handling your tax returns or through a general support team.
Agree on the expected response time and the specialist's working hours. Round-the-clock AI assistance and access to a human professional are separate service features. There should be a clear route for urgent questions that need a person.
Ask how the provider prepares for each reporting period. When should you upload documents? Who follows up on a missing invoice? When can you see an estimated tax bill? How will you know the return has been accepted?
A demonstration of these steps is more useful than a feature list. Ask to see where your documents, tax estimates and filing confirmations appear in the client portal.
Checking English-language support
If you are looking for an English-speaking gestor in Spain, clarify how communication works in practice. Ask about written messages, video calls and explanations of tax documents. Where a service uses automatic translation, check which channels it covers and how detailed questions are clarified.
You should be able to explain your situation and understand the answer, including any action required from you.
Ten questions to ask a gestor before paying
Who will manage my bookkeeping and answer questions about my documents?
Which transactions must I enter myself, and which tasks does the specialist handle?
Which tax returns are included in my plan, and who submits them?
Does the plan include Renta covering all my sources of income?
Are there limits on invoices, business activities or the countries where my clients are based?
How do you handle the payment platforms and currencies I use?
Who tracks deadlines and requests missing documents?
Where can I see tax estimates and proof that returns have been filed?
How are errors resolved, and what responsibility is set out in the service agreement?
What will a full year cost with the services I need, and how does cancellation work?
Send the same business description to two or three providers. Compare the specificity of their answers, the work included and the total price. If you are still unsure who submits your returns, ask for written clarification.
How Reglapp supports autónomos in Spain
Reglapp combines autónomo accounting and tax support with a digital client portal and a dedicated gestor. You can manage invoices and expenses, keep documents together and discuss questions with the specialist handling your case. Your gestor prepares and submits the tax returns included in your plan, and the platform gives you visibility over your estimated taxes.
Reglapp AI is available 24/7. Our specialists respond in under 60 minutes during business hours. The chat with your dedicated gestor supports automatic translation, so you can write in English and communicate with your gestor in the same conversation.
Our service suits autónomos who want to manage documents online and keep direct contact with a professional. Individual support becomes particularly useful when you have international clients, run an online business or receive income from several sources.
Reglapp also works with digital nomad onboarding and complex residence-permit cases. These can include Social Security registration before a TIE residence card is issued, or reviewing a case where there has been a long gap between residence approval and autónomo registration. Discuss the specific situation with us so we can explain the work required and the applicable service.
All our plans include legal support within the agreed scope of service. Where a tax dispute or residence issue requires a lawyer's involvement, we can coordinate that work with the accounting team and explain any additional services needed.
Basic costs €80 per month plus VAT. Pro costs €130 per month plus VAT and includes one 45-minute consultation with a gestor each month to discuss tax optimisation. See Reglapp's plans and what they include.
What is the difference between invoicing software and a gestor
Invoicing software provides tools for creating invoices and recording transactions. Access to a specialist, document review and submission of tax returns depend on the service you purchase. Check the tasks included in the particular plan.
Why do gestor fees vary so much
Providers divide the work differently between the client and the specialist. Consultations, document limits, payroll services and additional returns can also affect the price. Compare offers using the same description of your business and the same list of tasks.
What should a new autónomo ask to see in a demo
Ask the provider to show a typical working month: creating an invoice, uploading an expense, asking a question and checking the gestor's work. Then ask what happens when tax returns are prepared and which actions remain your responsibility.
Can a gestor help with foreign clients and Stripe payments
Ask whether the provider supports your combination of activities, client countries, payment platforms and currencies. Discuss a sample transaction and the documents they need. Confirm what is included before subscribing.
Can I communicate with my gestor in English
Check whether English is supported in messages and consultations, and whether automatic translation is used. Reglapp's gestor chat includes automatic translation, allowing you to write in English while your gestor reads and responds in Spanish.
What should I check when changing gestor
Identify what you want to improve, such as response times, clearer tax estimates, help with international transactions or access to documents. Test those points in a demonstration and agree on the handover of records and responsibility for the current reporting period.
